           TO CLOSE

When a transaction is under contract, my TC will:

  • Coordinate opening escrow and send all necessary documents securely.
  • Send an introduction email providing a timeline of deadlines with a copy of the executed contract to coop-agent, your client, lender and escrow company.
  • Ensure everything is fully executed with dates, initials, signatures, & broker information.
  • Submit all required contract documents to broker for compliance.
  • Send/request disclosure packages and gather signatures, if needed.
  • Ensure the lender, escrow company, and broker receive any amendments or changes to the contract.
  • Verify EMD and obtain receipt.
  • Request and review opening package from title.
  • Review escrow instructions and preliminary title report.
  • Verify inspection date and time. Ensure all parties have received reports to review.
  • Consistently follow up with escrow and the lender throughout the transaction. Provide agent with updates on the status of the transaction.
  • Update everyone on deadlines due to any changes in the contract.
  • Collect HOA documents in accordance with deadlines and email to buyer agent (if on list side) or to buyer (if on buyer side)
  • Order Home Warranty per contract, if applicable.
  • Order HOA documents, if applicable.
  • Confirm inspection has been set up in accordance with offer deadline.
  • Monitor appraisal timeline and completion with the lender.
  • Coordinate and monitor buyers loan status with lender.
  • Ensure your buyer/seller is provided a copy of all documents.
  • Request Broker signature on Commission Instructions. If TC is completing CI request, form MUST BE approved by agent before submitting to escrow and compliance.
  • Upload all disclosures, documents, and reports into agents online transaction management service as they are received or fully executed throughout the transaction, if applicable.
  • Provide access to transaction documents for all parties of the transaction.
  • Maintain constant contact with all parties involved for status updates as well as any outstanding items.
  • Verify escrow has all required documentation.
  • Coordinate and confirm final walk-through.
  • Schedule signing appointment for client and agent, if needed.
  • Conduct a final audit of file 7 days prior to closing to ensure all documents are uploaded and the file is complete.
  • Confirm final recording and alert agents.

  • Arrange EMD pick up or remind the buyer to wire as necessary.

  • Follow up on repairs and receipts from inspection.

Agent Expectations
  • Negotiate repairs and any changes to the contract. 
  • Advise the client of any contingency timeline removals (we will remind all parties of the dates and time frames in the introductory email). 
  • TC will not draft documents for the agent without verbiage. Verbiage must be emailed & agent must approve before sending to client.


Paid at closing according to TC Support Service Agreement. No fee unless we close.

                MANAGEMENT       

Setup New Listing File

  • Complete listing file creation in agents preferred software.
  • Fill out listing documents and send to client along with any required disclosures for signatures.
  • Order and review preliminary title report prior to executed contract.
  • Add listing info into the MLS (agent fills out listing comments/description).
  • Ask the seller to make copies of house keys for the lockbox, if necessary.
  • Upload pictures of property to MLS.
  • Input listing into the MLS incomplete.
  • Have listing agent edit or approve MLS input before going live.
  • Email seller copy of the listing.
  • Add any required documents to the MLS listing such as legal description, disclosures, inspections, if requested.
  • Add all listing documents, disclosures, and any other required documents to broker’s online compliance management software ensuring file is complete.
Agent Expectations
